I've been managing equipment purchasing for a mid-sized excavation company for about 6 years now. Maybe 7 — I'd have to check the records. Long enough to have made my share of expensive mistakes.
Our fleet isn't massive, but it's real: a few Terex backhoes, a crawler crane, an overhead crane in the shop, and a steady flow of parts orders that keep everything running. I run the procurement budget — roughly $450,000 a year, give or take — and I track every purchase order in a cost database.
If you're about to buy Terex equipment or parts — a new backhoe loader, a used crane, or an OEM parts and service agreement — this checklist is for you. It's 7 steps. They take about a day to run through, and they've saved me from more than a few bad purchases.
Step 1: Pull the serial-specific spec sheet before you talk price
This is the step everyone skips. You see a Terex backhoe with a decent price and good hours, and the spec sheet starts to look like paperwork instead of the most important document in the room.
A backhoe loader specification guide tells you the numbers that determine whether the machine is worth anything to you: digging depth, breakout force, loader lift capacity, horsepower, operating weight, ROPS/FOPS compliance. Not the brochure spec for the model — the serial-specific spec for that exact unit.
Why serial-specific? Because two machines from the same model year can have different hydraulic configurations. I made this mistake in my first year. I assumed "standard" equipment meant the same thing across all comparable units. It didn't. The backhoe I approved had a smaller auxiliary hydraulic pump than my site calculation assumed, and the rework cost me about $600 in parts and labor. Plus two days of arguing with the broker. If I'd checked the serial-specific spec sheet, I'd have caught it before I signed.
Step 2: Confirm the dealer's authorization in writing
This should be obvious, but it's not. I've run into more than one "authorized dealer" that wasn't actually authorized. When you buy from those outfits, the manufacturer's warranty and factory support generally don't apply. You're buying used equipment with a nicer story.
The fix is simple: verify the dealer in the manufacturer's dealer locator or demand a copy of the current dealer agreement. It takes five minutes. I spent two weeks negotiating with a broker who couldn't submit a warranty claim on a Terex crane — he kept saying "we're working on it," and nothing ever got filed. That's a no-brainer check, and I still kick myself for not doing it earlier.
Step 3: Audit parts and service availability before you commit
Machines wear out. That's not a possibility — it's a certainty. The real question is whether you can get the right parts and qualified service when the machine needs them.
Most buyers check parts availability after they sign. That's backwards. Before you commit to any machine, ask the seller two direct questions. For Terex crane parts and service: what is the current lead time on the top 5 wear items for this model? And are the service technicians factory-trained and certified on this specific crane type?
If you're looking at an overhead crane, ask the same about overhead crane OEM parts. Overhead cranes are easy to overlook because they're not glamorous. But when the hoist goes down, everything under it stops. Oh, and check whether the dealer has a service fleet that can come to your site — if you have to haul the machine to them, that changes the downtime math.
I compared two dealers for the same used machine once. Dealer A quoted 3-5 day lead times on wear parts and confirmed their techs had factory training. Dealer B said "around 2-3 weeks" and "our mechanics have a lot of experience with cranes." Certified beats experienced when you have a choice. I'm not knocking general mechanics — we use them for simpler work — but for OEM-critical components, I want someone trained specifically by the manufacturer.
Step 4: Run the real numbers — total cost, not sticker price
"TCO" sounds like consultant talk, I know. But it's really just a list of all the costs a machine will generate over about 3 years. I build this for every meaningful purchase, especially when comparing a new dealer unit against a used crane manufacturer's offering.
- Purchase price including delivery and rigging
- Commissioning and load test costs
- Expected parts and maintenance over 3 years (based on the manufacturer's maintenance schedule)
- Estimated downtime cost at your hourly operating rate
- Resale value at the end of your planning horizon
In 2023, I went back and forth between a used Terex crane and a rebuilt "equivalent" that was $12,000 cheaper. On paper, the rebuilt one made sense. My gut said otherwise. The spreadsheet settled it: the used Terex had a lower maintenance forecast, a more realistic resale curve, and no expensive electrical surprises in year one. The cheaper machine needed a new hoist brake at $2,800 and a wiring repair at $1,700 within the first 12 months.
Bottom line: the "bargain" was about $4,500 more expensive, and that doesn't include two weeks of downtime. Numbers beat instincts every time.
Step 5: Bring in a specialist for the inspection — and listen to them
Dealers are good at selling. They are not always good at assessing their own used equipment, and they have an obvious bias. If the seller's in-house person says "everything checks out," I want a second opinion from someone who isn't paid by the seller.
For a used crane, that means a certified crane inspector. For a backhoe loader, bring an independent heavy equipment mechanic. This step costs a few hundred dollars and routinely finds thousands in repairs the seller "hadn't noticed."
In my first year, I trusted a seller's in-house inspection report — "good working order," it said. The hoist brake was nearly worn through, and the load chart didn't match the current configuration. The independent inspector found both in about 30 minutes. That $950 inspection potentially saved me from a jobsite failure that would have cost ten times that.
To be fair, some dealers are genuinely transparent. I had one tell me:
"Our used fleet is too high-hour for the utilization you're describing. You'd be better off leasing a newer machine."
He didn't make that sale, but he earned every project we could send him for the next four years. That's the boundary I look for: a supplier who knows what they're good at, and says what they're not good at.
Step 6: Check the paperwork — load chart, inspection records, compliance
Don't assume a machine in one piece has its paperwork in order. For cranes in the U.S., OSHA (osha.gov) specifies inspection frequency and documentation requirements — and on most large jobs, the general contractor will ask for those records before the equipment gets on site.
Before you sign, request:
- The manufacturer's load chart and operator's manual for the exact configuration
- Inspection records for the last 12 months
- Maintenance history, if it exists
- Certification documents for any rigging gear included in the sale
- Confirmation that the machine meets applicable regional compliance requirements
If these documents are "with the previous owner" and the seller can't produce them, that's a red flag. On many job sites, especially for lifting work, you'll need them before the machine can legally operate.
Step 7: Get every commitment in writing before you sign
Verbal promises have broken more budgets than equipment failures. If the seller says "we'll cover that repair," get it in the purchase order. If they promise to stock a critical part for your region, add it as a line item. If they say "we'll get you the parts within a week," make sure that's in the contract with a realistic delivery date.
I still kick myself for accepting a verbal parts promise once. The seller said "we'll get you the parts within a week." We didn't ask for it in writing, and the parts took four weeks. Our job was delayed, we spent $2,200 renting a replacement machine, and the vendor shrugged. Supply chain issues. Not their problem, apparently, since it was in no contract.
At a minimum, the purchase agreement should include: parts lead time for critical items, warranty terms that state what's covered and excluded, and acceptance criteria tied to the inspection results.
Notes from the field: mistakes most buyers make
If you remember nothing else, remember these four:
- Don't buy on emotion. The machine with the dramatic story is usually the one that creates the most drama after you own it.
- Don't skip the spec guide because "we'll make it work." Check the numbers. The spec sheet exists for a reason.
- Don't cut corners on safety-critical parts. Aftermarket parts have a place, but for hoist brakes, load-bearing pins, and certified lifting gear, OEM parts are the only rational choice.
- Don't forget about service capacity. Experience is great, but manufacturer-certified technicians are worth the premium when lives and loads are at stake.
The best Terex deal is the one where the machine fits the job, the supplier is honest about their limits, and the total cost is calculated rather than guessed. That's the machine worth buying.
